Privacy Policy
This policy explains what personal data PetMapa (“we”, “the Company”) receives from website visitors and clients, how that data is used and protected, and what rights you have.
1. Who processes your data
In certain cases, mandatory rules of your country of residence may also apply.
For any questions about personal data, you can message us or give us a call — our contact details are on the “Contact” page.
Some details in this section will be added after legal review. If you need them now, message us and we'll reply.
2. What data we receive
We collect only the information needed to respond to your enquiry, provide a consultation and prepare the veterinary documents for your pet’s travel abroad. The main source is the request form on the website, as well as messenger conversations (for example, on WhatsApp or Telegram) that you start yourself.
- Your first name and, where necessary, your surname.
- Your phone number.
- Your preferred contact method — for example, a phone call or a messenger.
- The consultation format you chose — free or paid — if you indicated it in the form.
- Trip details you enter in the form or share with us yourself: destination country, approximate travel date and the documents you already have.
- Information about your animal: species, breed, age, number of animals, and microchip and vaccination details, if you choose to share them.
- The content of your messages and any documents you attach (for example, copies of the pet passport).
- Technical data recorded automatically by the server when you access the website (for example, IP address, browser type and the address of the page from which the request was sent), to the extent necessary for the website to operate and be protected. The website does not use web analytics services or advertising pixels.
3. What we use the data for
Data is used only for the purposes listed below and is not processed in any manner incompatible with them.
- Responding to your request and working out the cost and timeframe for preparing the documents.
- Booking and holding a consultation, including a paid one, and accepting payment.
- Preparing an offer and agreeing on the terms of service.
- Providing services: turnkey preparation of documents for your pet’s travel abroad (microchipping, vaccination, rabies antibody titre test, issuing the pet passport and the veterinary certificate), as well as checking and completing existing documents.
- Contacting you through your chosen channel about matters relating to your enquiry.
- Fulfilling legal obligations — for example, keeping accounting records.
- Ensuring the security and proper functioning of the website.
- Sending informational messages — only with your separate consent.
4. Legal grounds for processing
Depending on the situation, we rely on one or more grounds provided for by the applicable law:
- Your consent: by submitting a form on the website, you agree to the processing of the data it contains so that we can contact you about your enquiry. You can withdraw your consent at any time by messaging or calling us.
- Entering into and performing a contract to which you are a party, as well as taking steps at your request before entering into it.
- Fulfilling obligations imposed on the Company by law.
- The Company’s legitimate interest — for example, protection against abuse and improving the website — provided it does not override your rights and interests.
Some details in this section will be added after legal review. If you need them now, message us and we'll reply.
5. Who data may be shared with
We do not sell personal data. Access to it is given only to those persons and services without which we could not provide the service or keep the website running. Processors are bound by contracts requiring them to maintain confidentiality and comply with data protection requirements.
The categories of processors with whom data may be shared are listed below.
- The hosting provider on whose servers the website is hosted.
- Request-handling services (a Telegram bot, a CRM system, a service that sends emails to the Company’s internal mailbox) that receive data from the website form.
- Messengers (for example, WhatsApp or Telegram) — if you have chosen them for communication.
- A service that protects forms from automated submissions (Cloudflare Turnstile) — if it is enabled on the website.
- Accredited laboratories to which samples are sent for testing — to the extent necessary to perform a specific service, and with your knowledge.
- Public authorities — only in cases expressly provided for by law.
Some details in this section will be added after legal review. If you need them now, message us and we'll reply.
6. Cross-border data transfers
Some of the services we use (for example, messengers and hosting) may have servers located abroad, so data may be transferred to other countries.
Such transfers are carried out in compliance with the applicable law on the basis of contractual data protection safeguards provided for in our service providers’ terms. If the law requires separate consent for such a transfer, we will request it before transferring the data.
Some details in this section will be added after legal review. If you need them now, message us and we'll reply.
7. Retention periods
Data is kept for no longer than is necessary for the purposes of processing or required by law.
- Data processed on the basis of consent: until consent is withdrawn, unless the law sets a different period.
Some details in this section will be added after legal review. If you need them now, message us and we'll reply.
8. Your rights
The scope of your rights depends on the applicable legislation. As a rule, you may:
- find out whether we process your data and obtain a copy of it;
- request that inaccurate or incomplete information be corrected;
- request that your data be deleted if there are no longer grounds for processing it;
- restrict or object to processing in cases provided for by law;
- receive your data in a structured, machine-readable format or ask for it to be transferred to another controller, where this right applies;
- withdraw your consent — this does not affect the lawfulness of processing carried out before the withdrawal.
9. How to exercise your rights
To exercise your rights, message us or give us a call — our contact details are on the “Contact” page. We may ask you to confirm your identity so that we do not disclose data to an unauthorised person. We will respond within the timeframe set by the applicable law. You also have the right to lodge a complaint with the competent data protection authority.
Some details in this section will be added after legal review. If you need them now, message us and we'll reply.
10. How we protect data
We apply organisational and technical measures proportionate to the nature of the data: need-to-know access restrictions, secure transmission channels and oversight of the services we use. In particular, data sent from the website is encrypted using HTTPS, and access to requests and correspondence is limited to the people who need it for their work.
No method of transmitting data over the internet can be completely secure. Please do not use the website forms to send any information that is not needed for your enquiry.
11. Changes to this policy
We may update this document when our processes, the services we use or the legislation change. The new version is published on this page together with its effective date. We will endeavour to notify you separately of any material changes.
Some details in this section will be added after legal review. If you need them now, message us and we'll reply.
